Templates are pre-designed files that you or someone else (like Microsoft) generates to use as a blueprint for a job. The template could be to get a business card, brochure, resume, demonstration. . .the list goes on. Regardless of the purpose, templates offer the design consistency that any organization (or individual) needs to appear professional. (you could also find templates for Excel, PowerPoint, and other applications, but in this guide we are focusing on Microsoft Word.)
The template contains a particular design, style, design and, sometimes, fields and text that are common to each use of the template. Some templates are really complete (for instance, business cards), you only have to change somebody’s name, phone number, and email address. Others, like company reports or brochures, could demand that everything is changed except the design and layout.
As soon as you make a template, then you can use it over and over. Remember that while you start a template to start a job, you save the job as another file type, such as the simple .docx Word structure, for editing, printing, sharing, and much more. The template file remains the same, unless or until you wish to change it (more on that later).
Custom templates can be as simple or complex as needed. For example, you might create a template for your company’s newsletter, posters for a seminar, or invitations for corporate events. You could also produce interactive templates to load on the Intranet, so others can fill in the blanks to publish their own envelopes and letterhead, as an example.
First, create a record –layout and format it, add images and photographs. When it’s interactive, pick Controls from the Developer tab and create custom input fields for user interaction.
Some templates use interactive controls for user input. By way of example, imagine that once a month, the division managers, assistant managers, and loan originators of a large banking institution have a meeting at one of the 12 branches. It’s your assistant’s job to email the date, time, location, speakers, themes, and agenda to each attendee. Instead of having that individual retype the data in a normal template, you can create a template in which options can be selected from a list.
Programs let you configure all of the relevant settings you need pre-applied to files –webpage layout, styles, formatting, tabs, boilerplate text, and so on. You can then easily create a new document based on that template.
After you save a document as a template, then you may then use that template to create new files. Those new files contain all of the text (and images, and other articles ) the template contains. They also have the exact same page layout settings, sections, and fashions as the template. Templates can save a great deal of time when you’re creating multiple documents that need to have a consistent design, format, and some boilerplate text.
